Supplementary Privacy Notice for Recruitment Services Users

1 Scope

In this notice, we describe how we at Minjon collect and process your personal data as part of our recruitment services. This may take place in connection with a job application or during the recruitment process.

2 Collection of personal data

We collect your personal data in several ways. We primarily collect and process personal data that:
 

(i) you provide to us during the recruitment process, for example via LinkedIn, email, phone or various forms. Such data may be provided in your CV, application or during interviews;
 

(ii) is generated during the recruitment process, for example in suitability assessments; and


(iii) is obtained from public sources or third parties in accordance with applicable legislation, such as references you have named, or websites that you have referred to or consented to be used.

 

Where necessary, we combine personal data collected from different contexts (such as your use of our website or communication via email) with data obtained from public sources.
 

You are not obligated to provide your personal data to us. However, refusal to do so may affect the functioning of our services or prevent us from carrying out requested actions.

3 Categories of personal data

We collect and process the following categories of personal data:


​(i) Basic information, such as your name and contact details (email address, postal address and phone number);


(ii) Application data, including information contained in your job application, such as education, previous work experience, qualifications, language skills and references;


(iii) Recruitment process data, such as information relating to the progress of the process, notes concerning your application, interviews, motivation assessments and, where applicable, suitability assessments, as well as references;


(iv) Employment-related data, where we provide temporary staffing services and enter into an employment contract with you. In such cases, you become our employee and we collect your personal identity number and other information required for the employment contract and payroll processing.

4 Purpose and legal basis for processing

We process only personal data that is necessary for the recruitment process, such as:


(i) processing job applications
 

(ii) informing applicants about the progress of the recruitment process


(iii) arranging interviews


(iv) assessing suitability


The legal basis for processing is the implementation of measures prior to entering into an employment contract.

 

5 Disclosure of personal data
 

We may disclose your personal data to third parties, such as our recruitment clients, within the limits permitted by law, for example:


(i) when our service providers process personal data on our behalf and in accordance with our instructions (for example, in connection with motivation assessments). In such cases, we remain responsible for the processing of your personal data and determine how it is carried out;


(ii) if we are involved in a merger, corporate restructuring or sale of business;


(iii) to comply with requests from authorities in connection with legal proceedings;
 

(iv) with your consent, to the parties to whom your consent applies (e.g. references).
