Supplementary Privacy Notice for Recruitment Services Users

1 Scope

​In this notice, we describe how we at Minjon collect your personal data as part of our recruitment and executive search services. This may take place either in connection with a job application or during an executive search process.

2 Collection of personal data

We collect your personal data in several ways. We primarily collect and process personal data that:


(i) you provide to us during the recruitment process, for example via LinkedIn, email, phone, or various forms. Data may be provided in a CV, application, or during an interview;


(ii) is generated during the recruitment process, for example in suitability assessments; and


(iii) is obtained from public sources used for professional purposes or from third parties in accordance with applicable legislation, such as LinkedIn, company websites, or referees you have named or consented to us contacting.


Where necessary, we combine personal data obtained from you in different contexts (for example through the use of our website or via email) with data collected from public sources.


You are not obliged to provide your personal data to us. However, refusal to do so may affect the functionality of our website or prevent us from carrying out the actions you have requested.

3 Categories of personal data

We collect and process data on our website that fall into the following categories:
 

(i) Basic information, such as name and contact details (email, postal address, and phone number);


(ii) Your job application and the information it contains, such as education details, previous work experience, degrees, language skills, and referees;


(iii) Data collected and processed during the recruitment process, such as information related to the progress of the process, notes regarding your application and possible interviews, motivation assessments, and, where applicable, suitability assessment data, as well as referees; and


(iv) When we provide temporary staffing services to our clients, we enter into an employment contract between you and Minjon. In such cases, you become our employee, and we collect your personal identity number and other information required for the employment contract and payroll processing.

4 Purpose and legal basis for processing

We only process data that is necessary for the recruitment process, such as handling job applications, informing applicants about the progress of the recruitment process, arranging interviews, and assessing suitability. The legal basis for processing is the implementation of measures prior to entering into a potential employment contract.
 

With your consent, your personal data may also be used in future recruitment or executive search processes.

 

5 Disclosure of personal data
 

We may disclose your personal data to third parties within the limits permitted by law.
 

The most typical situation for disclosure relates to the execution of a recruitment or executive search assignment, in which case we disclose your personal data to our client company (the recruiting employer). In practice, this means that we present you as a potential candidate to our client and share information relevant to the recruitment process. Such disclosure is based on your consent.

 

Data is disclosed only to the extent necessary to carry out the recruitment process.

Other situations in which we may disclose data


We may also disclose your personal data in the following situations:
 

  • when our service providers process personal data on our behalf and in accordance with our instructions (for example, motivation assessments). In such cases, we remain responsible for the processing of your personal data and determine how it is processed;

  • if we are involved in a merger, corporate restructuring, or sale of business;

  • to comply with a request from authorities in connection with legal proceedings;

  • with your consent, to parties to whom your consent applies (for example, referees).
